
What Payroll Software Costs a Philippine SMB at 10, 50, 100 and 150 Employees
Per-employee payroll pricing wins at small headcounts and flat pricing wins as you grow. Here is the math at 10, 50, 100 and 150 employees.
Per-employee pricing is cheapest for very small teams, and a flat rate wins as headcount grows. On published list prices, YAHSHUA One Payroll's flat ₱7,000 costs less than PayrollHero from 18 employees and less than GreatDay HR from 91 employees. Below 18 employees it costs more than both. Here is the math at 10, 50, 100 and 150 employees.
Payroll Software Cost by Headcount: The Pricing Models
Philippine payroll pricing comes in three shapes: a flat monthly rate, a per-employee rate, and a base fee for outsourced payroll. They cross over at different headcounts, so the cheapest option at 10 employees is rarely the cheapest at 100.
These are the published list prices we used, all checked in October 2026:
- GreatDay HR: ₱77 per employee per month on its Basic Starter Package, which its pricing page says includes 50 licenses. HRIS and payroll sit in one per-employee price. The page also says prices are changing soon, so confirm the current rate.
- PayrollHero: $3.50 per employee per month for HRIS, timekeeping, attendance and scheduling, plus $3.00 for payroll, so $6.50 for both. Leave management is a separate $2.00. Its global pricing page is in US dollars, and PayrollHero says it has a separate Philippines site for local pricing, so treat the peso figures below as indicative.
- Sprout Solutions: the Payroll Starter is outsourced payroll at ₱7,900 per month for 10 employees. Sprout's own article describes its software payroll as a custom quote based on business size, so there is no published rate to run at larger headcounts.
- YAHSHUA One Payroll: a flat ₱7,000 per month for up to 100 employees, then ₱60 per additional employee, with YAHSHUA HRIS included. Prices exclude VAT, and there is no setup fee.

The Math at 10, 50, 100 and 150 Employees
At 10 employees, both per-employee plans cost less than a flat ₱7,000. At 50, only GreatDay HR does. At 100 the flat rate is below both per-employee plans, and at 150 it is the cheapest of the published prices compared here.

How to read the table:
- GreatDay's page says the starter package includes 50 licenses. We read that as a floor, as in our buying guide, so 10 employees are priced at 50 licenses. If GreatDay lets you buy fewer, the 10-employee figure would be lower, so confirm it with them.
- PayrollHero's $6.50 is converted at ₱62.75 per US dollar, the Bangko Sentral ng Pilipinas rate of October 2, 2026, rounded. The peso figure moves with the exchange rate, and it leaves out the $2.00 leave management add-on.
- YAHSHUA One's figures are before VAT. GreatDay's and PayrollHero's pages do not say whether their prices include VAT.
Where Flat-Rate Payroll Pricing Beats Per-Employee Pricing
A flat rate costs less than a per-employee rate once headcount passes the flat fee divided by the per-employee rate. For YAHSHUA One's ₱7,000, that is 17.2 employees against PayrollHero and 90.9 against GreatDay HR.
- Against PayrollHero: ₱7,000 divided by about ₱408 per employee is 17.2, so the flat rate is cheaper from 18 employees. At 17 employees PayrollHero is ₱6,934, and at 18 it is ₱7,342.
- Against GreatDay HR: ₱7,000 divided by ₱77 is 90.9, so the flat rate is cheaper from 91 employees. At 90 employees GreatDay is ₱6,930, and at 91 it is ₱7,007.
- Past 100 employees: each extra YAHSHUA One employee adds ₱60, against ₱77 at GreatDay and about ₱408 at PayrollHero, so the gap widens.

A flat rate gets cheaper per head as you grow, a per-employee rate stays where it is, and that is the whole difference. If your team will stay near 10 or 20 people, a per-employee plan is the better deal. If you expect to pass 90, run the numbers for the headcount you will have next year, not today.
What the Subscription Price Leaves Out
The list price is only part of the cost. Check for setup fees, add-ons, AI usage charges and VAT before you compare totals.
- Setup fees: YAHSHUA One has none. The GreatDay and PayrollHero pages we read do not state one either way, so ask.
- Add-ons: PayrollHero's leave management is a separate $2.00 per employee per month. At 100 employees that adds about ₱12,550 a month, which takes the PayrollHero total to about ₱53,338.
- AI usage: YAHSHUA One's Theo assistant is optional and runs on pay-as-you-go credits, priced separately. Ask any vendor whether its AI features are included or metered.
- VAT: YAHSHUA One's prices exclude it. Ask the others whether the listed price includes it.
- Exchange rate: a dollar-priced plan changes in pesos whenever the rate moves.
How to Run This Math for Your Own Company
Count today's employees and next year's, multiply by each per-employee rate, add the flat fees and add-ons, and compare at both headcounts. The cheapest plan today is not always the cheapest next year.
- Write down your headcount now and in 12 months.
- For a per-employee plan, multiply the rate by headcount, and check for a minimum number of licenses.
- For a flat plan, take the base fee and add the per-employee charge for anyone over the included headcount.
- Add setup fees, add-on modules, AI usage and VAT to each total.
- Check what you are comparing: software you run, outsourced payroll, or an attendance-first system with payroll as an add-on.
